Automating the front desk: stop losing leads.
For a plumber, a clinic, a salon, or a local agency, the front desk is where revenue is won or lost. The hard truth: most missed calls and slow web replies don't reschedule — they call your competitor. AI now lets even a one-person business answer, qualify, and book every lead, around the clock, without hiring a receptionist.
The missed-call problem
When you're on a job, with a client, or asleep, the phone still rings and the web form still fills in. Studies of local service businesses consistently find that a large share of inbound never gets a timely response — and the customer who doesn't hear back quickly simply moves on. Every missed call is a quote you never got to give. For a small business, that's the most expensive leak there is, and it's invisible because you never see the customer you lost.
What an "AI front desk" actually does
It's not a robot pretending to be you. Think of it as a tireless assistant that handles the first touch and hands you a warm, organized lead:
- Answers 24/7 — by text, web chat, or a voice line — so no inquiry goes unanswered, even after hours.
- Captures the details — name, contact, what they need, when, and how urgent.
- Qualifies the lead — asks the few questions that tell you whether it's a fit and how to prepare.
- Books or routes — offers your real availability and schedules it, or flags hot leads straight to your phone.
You wake up (or finish the job) to qualified appointments and a tidy summary instead of a voicemail you have to chase.
What it should never do
The goal is to capture and organize, not to fake being human on the hard stuff. Anything emotional, a complaint, a complex quote, or a sensitive medical or financial question should be flagged straight to a person. A good setup is upfront that it's an assistant, and makes reaching you easy. Customers forgive "let me get that booked for you and have the owner call you back"; they don't forgive being trapped in a loop.
A simple setup
You don't need a call centre. Most local businesses start with one channel — usually missed-call-to-text (when you can't pick up, an AI texts the caller back instantly) or a web-chat that books appointments. Connect it to your existing calendar, give it your services, hours, and a few common answers, and you're live. Add a second channel only once the first is earning its keep.
How to know it's working
Measure two numbers before and after: your response time to a new inquiry, and the share of inquiries that turn into booked appointments. If after-hours leads start converting and you're no longer playing phone tag, it's working. If not, adjust the questions or the handoff — it's a quick fix, not a rebuild.
